48-Hour Cancellation & No-Show Policy

​​At our practice, each appointment is reserved exclusively for you. To ensure fairness, maintain an efficient schedule, and minimise financial loss caused by late changes, we operate a strict 24-hour cancellation policy.

Cancellations

If you need to cancel or reschedule your appointment, please provide at least 48 hours’ notice.
Cancellations made with less than 48 hours notice (and no shows) will be charged 100% of the session value. We kindly ask you to provide us with at least 48 hours notice, where you can easily reschedule or cancel free of charge.​ We do not offer an acts of god clause, if the reason is out of your control, unless we are able to fill your slot.

Why This Policy Is Necessary​

Late cancellations and no-shows have a direct financial impact, as the reserved time cannot usually be filled at short notice. This results in lost income and reduces availability for other clients who may be waiting for an appointment. This policy ensures our diary runs effectively and that appointment times remain fair and accessible to all clients.

We Understand That Life Happens

We appreciate that unexpected events can occur. While the policy remains in place to protect the business and all clients, we encourage you to contact us as soon as possible if something arises. Early communication gives us the best opportunity to offer the appointment to someone else and may help avoid unnecessary charges.

Payment of Outstanding Fees 

Please note that no future appointments can be made or confirmed until any outstanding cancellation or no-show fees have been paid in full. This ensures fairness and consistency for all clients and allows the business to operate sustainably.

Right to Charge

By signing the consultation form and booking with us, you acknowledge and agree that the practice reserves the right to charge the full session fee for any cancellation made under the 48-hour window or for any unattended appointment.

Our Commitment to Reducing Last-Minute Cancellations

We do everything we can to support clients in keeping track of their appointments and to minimise the likelihood of last-minute cancellations. Upon booking, you will receive a booking confirmation email, followed by a reminder email three days before your appointment. In addition, our cancellation policy is clearly outlined on the consultation form you sign upon booking.
These measures ensure full transparency and provide ample notice, helping both you and the practice maintain a smooth and reliable schedule.

Lateness policy

​​​f you are running late, please notify us as soon as possible. ​

If you are late (under 15 mins), you can still attend, however your session time will end at the normal time, and you will be charged for the set treatment price. ​

If you are over 15 mins late, the session will be cancelled, and you will be charged the full treatment value, as this is classed as a no show. ​​

Consultation Form
Terms & Conditions

​​​Apon booking, you will receive the consultation form via email , which is required to be completed the same day as booking. ​​

The Online Consultation Form is an essential component of the booking process. It enables the therapist to review your past medical history, current health status, and any relevant conditions to ensure that sports massage treatment is safe, appropriate, and conducted to a high professional standard, or to see if any alterations need to be made.

1. Requirement for Same-Day Completion

The consultation form must be completed on the same day that the appointment is booked.
Timely completion allows the therapist sufficient opportunity to review the information prior to your session and to determine whether any adjustments, precautions, or further clarification are required.

2. Appointment Cancellation for Non-Completion

Failure to complete the consultation form on the day of booking may result in:

  • Automatic cancellation of your scheduled appointment, and/or

  • Delay in receiving treatment until the form has been fully completed and reviewed.
    No appointment will proceed without a completed and approved consultation form.

3. Accuracy and Honesty of Information

All information provided must be truthful, accurate, and complete. This includes, but is not limited to, medical conditions, injuries, surgeries, allergies, and medications.
Providing false or incomplete information may compromise your safety and may result in refusal of treatment.

4. Insufficient or Incomplete Responses

If the form lacks sufficient detail or requires clarification, the therapist reserves the right to return the form for revision.
You must resubmit the updated form promptly to ensure it can be reviewed prior to your appointment.

5. Ongoing Duty to Update Medical Information

You are required to notify the therapist immediately of any changes to your medical history or health status, including changes to medications, new or worsening conditions, or recent injuries.
Your safety during treatment depends on up-to-date and accurate information.

6. Therapist’s Right to Decline Treatment

The therapist retains the right to decline or postpone treatment if:

  • The consultation form is incomplete with the given time frame

  • The information provided indicates that treatment may not be safe or appropriate.

  • Any supporting medical clearance is required but has not been provided.

  • Withholding information/not answering honestly.

7. Acceptance of These Terms

By booking an appointment and submitting the consultation form, you confirm that you understand and agree to abide by these Terms and Conditions. Compliance is mandatory for all clients to ensure safe, effective, and responsible treatment.

Guest policy

We highly recommend to avoid bringing another person. The space is limited, as it is designed for the therapist and client. Unfortunately we don't have a waiting room.

However there are cases where another person can be present, such as parent/guardian for client under 16 years of age, or a carer if the client is unfit to attend by themselves (such as mobility issues).

If this is the case, you MUST notify us upon booking, before your session, so the therapist knows to expect another individual into their premises.

We have every rights to refuse an unexpected guest without notice, due to professional, ethical and safety guidelines. We also want to minimise all distractions, for the therapist to gain their full focus, whilst respecting the clients privacy.
